Why Hire a coordinator/planner?

“Do I really need a coordinator? Can’t I just have my MOH or family member help?” Well, we get this a lot and the truth is you don’t “NEED” a coordinator! BUT let us be the first to tell you that the decision will pay for itself many times over and you (nor your wedding party/family) will ever regret the decision! (TRUST US!)

Let us explain why we think it’s so important to have a professional wedding coordinator/planner for your wedding day!

  • A venue host is NOT a coordinator…

    Yes, the venue does have someone on property, but they are strictly there to focus on and represent the venue. They handle the lights, air, bathrooms, contract policies, table/chair breakdown, etc.! They won’t be coordinating anything…that means you handle the decor set up, your vendors, the timeline, your ceremony, the order of events, and the breakdown.

  • We’re the professionals….

    We’re the professionals, we literally do this for a living! We can plan, coordinate, and manage a wedding (along with all the hic cups that happen) in our sleep! Coordinators have been there and seen that, they know how to avoid mistakes, unneeded stress, and share tips, so that your wedding party, family, and more importantly, you and your fiance, don’t have to deal with it on one of the most important days of your lives.

    We’ve seen far too any weddings where mothers and wedding party members spend the entire day and evening running around, stressing out instead of soaking in and sharing in the moments with you. Picture a day where you get to relax with your family and wedding party prior to the ceremony and not one where you’re on the phone with a florist or baker trying to figure out why the didn’t arrive! Then picture an evening where everyone gets to celebrate and party instead of running around moving decor from the ceremony to reception venue or letting the caterer know things are running behind schedule OR trying to find the photographer for cake cutting photos!

    Let’s be honest, planning a wedding is fun, but it’s hard work! There are a lot of moving parts to finalizing such a big event. Not to mention, you most likely have a job, hobbies, and other obligations that keep you busy. Even though you may want to be super hands-on in the planning, you also want to be SANE! The month, week, and day of the wedding WILL be the busiest and most stressful time for you and you can be assured we have your wedding at the forefront and will do everything to keep things running smoothly. We see the big picture and help you deal with family dynamics, decision making, and prioritizing the important things!

    In the weeks leading up to the wedding, coordinators are the main point of contact with vendors so you only have to deal with one person! Your coordinator will help sift through all of the vendor logistics, timing, details, plus ask the right questions to make sure it all goes to plan.

A coordinator or planner does the legwork for you! It allows you to be newly engaged and enjoy the fun parts of the wedding! You can sit back and focus on the things that matter to you the most and let them handle the organizational logistics and details of planning!

MONTH OF COORDINATION

$1,500

Includes: Coordinator + AssistanT on Wedding Day

Prior to Your Wedding Day

  • Provide a planning packet to be informed on all the big day details (or missing pieces) to ensure the perfect event

  • Unlimited communication including up to 3 in person/virtual planning meetings starting 6 weeks prior to your wedding day

  • Vendor communication & management *review contracts/invoices, reach out to vendors to confirm service levels, insurance, set up/delivery times, timeline distribution, resolve logistics issues ahead of time, etc.

  • Creation of detailed wedding day master timeline, ceremony lineup, floor plan, etc.

  • Provide etiquette guidance as needed (tipping guide, etc.)

On Your Wedding Day

  • Conduct your on site rehearsal to ensure it flows smoothly (day prior, if needed)

  • Be present for your wedding day along with a coordination assistant for:

    • Assist with unloading vehicles

    • Assist in setting up small item set up (guest book, signage, photos, card boxes, favors, seating chart or escort cards, table numbers, etc.)

    • On site management of vendor set ups, questions, etc on event day

    • Ensure the design of the venue, tables, & ceremony appears as anticipated

    • Ensure the timeline is being followed

    • Collaborating with all vendors to ensure all important moments are being executed

    • Cueing speakers, musicians/DJs, attendees for all key moments (processional, toasts, formal dances, etc.)

    • Troubleshooting any last-minute emergencies that may arise during the event

    • Organize and distribute all wedding party florals

    • Direct the wedding party & family so they are in the proper place at the proper time

    • Direct ushers and helpers with ceremony seating, program distribution, etc.

    • Line up wedding party for processional

    • Fix all dresses prior to walking down the aisle

    • Transport any personal items from ceremony to reception

    • Attend to guests needs & inquiries

    • Organize the bridal party and guests for the grand entrance

    • Pass out vendor gratuity envelopes/thank yous

    • Gather couples personal items & ensure they reach the exit vehicle

    • Assists in grand exit preparation & execution

    • Assist in gathering personal items and decor and help ensure they reach the proper vehicles

PARTIAL PLANNING PACKAGE

$2,500

Includes: Coordinator + AssistanT on Wedding Day

Prior to Your Wedding Day

  • Provide a planning packet to be informed on all the big day details (or missing pieces) to ensure the perfect event

  • Unlimited communication including monthly on site or virtual planning meetings starting 6 months prior to your wedding day

  • Assist in establishing a “to do” list & budget to guide the couple through the planning process

  • Vendor recommendations, communication & management *review contracts/invoices, reach out to vendors to confirm service levels, insurance, set up/delivery times, timeline distribution, resolve logistics issues ahead of time, etc.
